Kenosha Band Boosters
Meeting Minutes for January 23, 2007
Attended by: Patty Mahoney, Dr. Timothy Yontz, Jay Labedz, John Whyte, Jackie Battersby, Carla Ebert, Keenan Dreger, Joanie May, Jim Felt
President Patty Mahoney called the meeting to order.
Approval of Minutes:
Meeting minutes from 11/28/06 were reviewed.
A motion carried to accept the November minutes as written.
John Whyte pointed out the correct spelling of Balmages.
Financial Report:
A report was submitted by Marlene Tack. The report includes extra financial information on the summer band accounts and summer fund raising events.
The Band of the Black Watch debt was paid off by using money from the reserve fund as well as Booster funds. So, the summer band reserve fund is now at $0 which allows Black Watch to start the next season at $0 with no debt.
Continental and Rambler funds were divided up with half of the money going to the reserve account and half staying in the band account. KL band funds stay in their account.
The Festival of Arts and Flowers raised $2,012.00 with half of that amount going back to KUSD. Therefore, the Booster profit was $1,006.00. The Fall 2006 Fruit sale netted $2,631.15 and should be the actual final amount. The total amount of Booster fund is $87,863. However, all of that money except for the $19,326 in the general fund is earmarked for budgeted items.
Financial report highlights were reviewed and there was discussion about earning interest on the funds.
A motion carried to put some money into a CD to earn interest on a short term basis. Patty will research the CDs and email the members in attendance with recommendations.
A motion carried to accept the financial report as written.
The Boosters expressed gratitude to Marlene Tack for taking the financial information and organizing it into the budget line format.
AT & T Score Program
Jim Felt presented information on the Score program, which works through Home Team Marketing. Schools are able to obtain funds when customers sign up for AT & T services such as DSL, cell phones, satellite TV, and phone service. The website is scoreforschools.com. The customer registers, applies for the product and names the school. It is assumed that all non-profits are eligible. The Boosters would need to fill out an application to be listed on the site as a customer choice. Jim distributed flyers and instructions for the website form. Jim indicated he will get back to Patty about getting the Kenosha Band Boosters listed on the website pull down menu as a customer choice.
District
It was reported that there is a new middle school program of study being proposed with new elective choices. The choices involve more instrumental music options which in return require 2 additional instrumental staff persons to implement. The program is
being proposed for the Fall of 2007. This is the same proposal that was tabled last year by the board. The 2007 plan has been endorsed by the middle school principals and other administration.
The Fine Arts Department is busy preparing for Band-O-Rama. Solo and Ensemble is coming up on March 10. Planning is also being done for Large Group Contest, Orchestra Festival and the Festival of Arts and Flowers.
Band-O-Rama
This event needs 23 or more volunteers. The volunteers are being asked to come 15 minutes earlier this year (5:45 pm on Saturday) to meet with Dr. Yontz at 6 pm before the doors are opened to the public. A press release has been sent out by the district. The all ages/district wide Balmages piece is being premiered. Brian Schoettler, a Tremper students' piece is being premiered by the district 7th grade students. There was discussion about recognizing previous directors at the event. A few volunteers will be needed to assist Mr. Whyte and Ms. Thorson with the 5th graders in their homeroom. 250 purple orchids were ordered for sale. Water will be sold. Karen Curran irons the American flags and the color guard is all set. Boutonnieres and corsages have been ordered. Student photos will be offered by KeyLight Photography with a 15% profit to the students' school. Keylight may need a Booster volunteer on Saturday afternoon. Band-O-Rama 50th Anniversary t-shirt order forms were sent to the directors on 1/23 and are due on 1/31/07. Volunteers are needed on 1/31 to tally the orders. T-shirts will be distributed at the Saturday morning Band-O-Rama rehearsal. The website will show the t-shirts in color. The award purchases are in the process of being completed. Mr. Monk will be honored for 10 years and Ms. Ripley for 5 years.
Summer Bands
Patty emailed Todd Hardy from Tremper. He is collecting band instruments and items for New Orleans. He was asked if they wanted old uniforms or white marching shoes. The old Continental and Rambler uniforms were offered.
Guidelines for financial accountability for the summer bands need to be established by March. Lists of responsibilities of key volunteers (e.g. financial chair, uniform person) also need to be developed. These issues will be addressed at the February Booster meeting. Start up money for each band also needs to be established at the February meeting.
Ice Cream Social
The Kemper Center will be booked for 2007. Kemper Center called and wanted to know if they should give away the date to another party. Therefore, Boosters booked 7/17/07, the 3rd Tuesday of July. Festival of Arts and Flowers is 7/22/07.
Kenosha Beats
Jackie Battersby relayed an email from Paul Taylor. The Kenosha Beats is rehearsing at ongoing weekend overnight camps. They will be competing in Minnesota Percussion Competitions February 24-25 and March 17-18. They have 19 students in the group. They hope to display the show in Kenosha in February. They needed to purchase a tarp for $900.00. Each student is paying a $250.00 participation fee. The Boosters will discuss a Kenosha Beats contribution at the February meeting when budget figures are available. There was an earlier suggestion of $1,085 for drum cases.
Black Watch Trailer:
No report.
Website:
No report. We are hoping to be able to post the color photos of the Band-O-Rama t-shirts.
Coalition to Save Music
The $683.43 bill for the previously printed materials was received. This is broken down to $227.81 per Booster organization.
A motion carried to pay the bill.
Fruit Sale
The final profit was $2,631.15. All of the Booster presidents will get together to discuss next year's sale.
Saturday meeting with the KUSD School Board member
A meeting was held on 1/13/07 with Eric Olson of the school board. The meeting was attended by about 13 people including 2 students, 4 directors and 2 or 3 school board candidates. Mr. Olson reiterated the school board budget concerns. He stated again that 80% of the budget goes to personnel. There is still some concern that the board could cut lessons and there is some assumption that it could affect the 5th graders next year. Although it is noted that Mr. Olson stated that the board would look at cutting items that were not looked at last year. It was unfortunate that Mr. Olson compares sports (which is extracurricular) with music (which is a credit class).
AHA
The Arts and Humanities Alliance was formed about a year ago. One of its goals is to have a common community calendar for art events. Another is for the arts to work together e.g. to develop a website and brochures. The arts could work together to help promote one event at another event, all supporting one another. Networking and posting announcements are also suggested. The next AHA general meeting is April 3rd at 5:30 pm at the Kenosha Public Museum.
Orchestra Boosters Tea
A fundraiser for the Orchestra Boosters will be Sunday, February 25 from 1:00 to 4:00 pm at the Kenosha Women's Club. Small ensembles will play.
Other Business
Orchestra Boosters Tea: A fundraiser for the Orchestra Boosters will be Sunday, February 25 from 1:00 to 4:00 pm at the Kenosha Women's Club. Small ensembles will play.
Mayoral candidate Michael Bell contacted Patty about linking his website to the Kenosha Band Boosters. He is asking that people who wish to donate toward his campaign donate instead to a non-profit organization. He has selected the Kenosha Band Boosters along with 2 other non-profits. The Boosters do not endorse political candidates, but it was felt that we probably could not stop him from using our name as a suggestion for donations.
Keenan Dreger brought up some more ideas about fundraising. He asked the group to think about whether or not we want to try to bring an entertainer to Kenosha as a fundraiser. He also suggested looking for grant money or holding raffles.
There was a suggestion that we bring all the students that receive 1* (One Star) ratings at Solo and Ensemble before the KUSD school board similar to the recognition of state athletes.
There was also a suggestion about a Jazz contest where jazz bands from around the state could come and compete.
The meeting adjourned.
