Meeting minutes for Feb. 28, 2006

President Patty Mahoney called the meeting to order and introductions were completed.
Approval of Minutes:
Meeting minutes from 1/24/06 were reviewed. Corrections were noted as follows:
Add John Krerowicz to the persons in attendance.
Financial report: 3 personal checks were returned.
Patty clarified that the minutes stated there is an insurance policy to cover Directors and Officers of the organization. This was stated at the meeting but is incorrect.
Keno Beats should be "Kenosha Beats".
A motion carried to accept the January minutes with the above corrections/clarifications.
School Reports:
Elementary: John Whyte reported that the elementary bands are preparing for their May 2nd concert. He expressed gratitude to the Boosters for their tradition of providing a reception following this event. The pieces for the May concert have been selected. They will be doing 5 "full sized" pieces for the first time ever.
Lance: Michelle Riley reported that they performed at the United Methodist Church. The jazz band will play at the 5th grade orientation. They have over 80 groups preparing for Solo and Ensemble. They will be attending a clinic at Northwestern University on March 16th.
ITA: Keith Robinson sent a note. They were performing at the Board of Education Meeting the same evening. They have a Spaghetti fundraiser planned for March 31 with a craft fair and performances by the band, choir and orchestra. Tickets are $5.00.
Tremper: They have a jazz concert planned for March 1st . The WSMA jazz music schedule was March 2nd. The Black Watch information is posted on the Booster website and the lead volunteers are lined up.
Kenosha Beats: Their first performance was Saturday, 2/25/06 at the Kenosha Expo. They were well received. They had some difficulty in transporting equipment, but otherwise, everything went well.
District: Band-O-Rama went well. Dr. Paula Holcomb, guest conductor, was well received. She complimented the students' behavior. A parent commented that the program was too short. There was some concern expressed about the crowded hallways following the performance. Volunteers signed up online and all volunteers were greatly appreciated. There was some stress with long lines prior to the doors opening. Otherwise, many things went smoothly.
Solo and Ensemble was held the week of the meeting on 3/4/06. 23 performance sites were set up in addition to the Thursday evening Jazz performance site. Dr. Yontz expressed the priority for having door monitors at all the sites as well as volunteers in the field house and making rounds. Food and drink need to be kept out of the field house. Afternoon volunteers were needed.
Large Group Contest is set up for bands on Saturday, April 8th. Choirs will perform on Tuesday, 4/4; Orchestras on Friday, 4/7; and Bands on Saturday, 4/8. This allows all groups to perform in the auditorium. Band Boosters will provide the refreshment stand on April 8th. There was discussion about providing lunch for the judges. It was to be determined if the lunch will be provided by the KUSD or Band Boosters.

ITA is in the red because they purchased congas and drums. Patty will discuss this with Keith.
The Education Foundation of Kenosha Grant provided $1550.00 for the Kenosha Beats.
The Truck and Trailer insurance is due in March.
A motion carried to accept the financial report.
It was recommended that the Kenosha Beats line item on the financial report be moved to the area at the top of the report as a "bolded" titled item.
Fruit Sale:

Band-O-Rama:
Thank you to Diane Kastelic for overseeing the orchid flower sale, Joanie May for overseeing the water sale and Carla Ebert for overseeing the volunteers. Thanks also to all of the parent volunteers who help to make the event run smoothly.
Black Watch Trailer Painting:
No update at this time. A grant has been written to the Kenosha Lions Club. Chuck Romano has stated he will get information to Patty Mahoney regarding truck and trailer maintenance. The trailer was reportedly donated by the Kiwanis Breakfast Club in 1984 and the Truck was acquired in 1991.
Solo and Ensemble:
Volunteers are needed for morning and afternoon shifts. 40 volunteers are needed 7:30 am to 12:00 pm and 40 volunteers are needed for 11:30 am to 4:00 pm. Only one volunteer had signed up via the website. John Whyte will make reminder phone calls to volunteers as he has always done in the past. The correct spelling of volunteer names is needed for nametags and phone numbers are needed for the reminder calls. Volunteers will be accepted for any number of hours that day. It was unclear how the Carthage College student volunteers were obtained in the past. Carla had already forwarded a full performance schedule to the phone reps so that they can let parent volunteers know when their children perform.
Summer Bands:
Continental: Michelle Blanchet has provided dates for posting on the website. They plan to march in Waterford, Kenosha and hopefully one more parade. They also plan to perform at the Verzal concert, the Ice Cream Social and The Festival of Arts and Flowers. They will have a 2 day camp at Mahone Middle school and will hold their summer rehearsals at Mahone. They are working on percussion and color guard leaders. A parent meeting is scheduled for April 25th at 7:00 at Lincoln. Pre-season rehearsals will be held a Lincoln. They need chaperones and a uniform chairperson. They may change the color guard skirts.
Rambler: John Nepper will direct the band. Their dates have also been submitted for the website. Janet Schoettler is head chaperone. Jean Swaitko will lead fundraising. John Stolfe will lead percussion. Their spring rehearsals will be held at Mahone. A parent meeting is set up for April 28th at Mahone. Band camp will be June 10, 11 an 12 at Carroll College. Summer rehearsals will be Tuesdays, Wednesdays, and Thursdays from 9 to noon.
Black Watch: Their dates are posted on the Booster website. The cost for students has not yet been determined. Joanie May is the uniform chairperson. Patty Mahoney and Laurie Warren will assist her.
K-L Band: Kristie Weyrauch is directing. Another director is needed.
Patty commented that she wants to hold a meeting for all of the head chaperones and chairpersons including the financial people from the summer bands. She would like to review procedures in an effort to standardize them among the bands.
There was discussion about offering to allow parents to charge the summer band fees on credit cards. It is possible that this can be set up through the KUSD Fine Arts Department. A comment was made that it may be difficult to know what to charge the parents before the fundraising money is determined. The consensus was that if there is a fee assessed for the convenience of using the charge card, then the parents should absorb that cost by paying a larger amount that encompasses the summer band fee and the credit card company fee. Parents may be willing to pay this fee for the convenience of using their credit card. It may also be easier for families to afford the summer program.

John Krerowicz reported that approximately 25% of the volunteers for Band-O-Rama volunteered via the website. Carla Ebert forwarded the names of the volunteers that were obtained via phone reps and those names were added.
John prepared an Excel spreadsheet of the Band-O-Rama volunteers. It was requested that he forward that report to Patty Mahoney and Jay Labedz to be used to compile a master list of Boosters. Some volunteers have addresses, some email. It was suggested that Band Booster minutes be forwarded to volunteers with email addresses listed. A disclaimer will be added for them to "opt out" of receiving minutes.
John has received requests from a college student to post the cost of summer band. This will be added once it is determined.
New Business:
Large Group Contest: Volunteers are needed for Large Group Contest on April 8, 2006. Concession stand volunteers are also needed. Lunch for judges may also be provided by Booster volunteers. Patty Mahoney and Sue Mack volunteered to make/provide the food for the judges. It was suggested that an email be sent to the band directors to determine if any of them plan to have lunch in the judges quarters.
It was suggested that the concession for the Large group contest sell donuts, coffee and milk in the morning. Lunch items suggested were hot dogs, chips, soda and water.
5th Grade Reception: A reception is provided by the Boosters following the beginner band student concert on May 2nd. A coordinator is needed for this event. Cookies and juice or punch are served. Patty will speak briefly about the Boosters and welcome parents to the organization.
Breakfast with the Bands: Costs are anticipated as being higher this year since there are no leftovers. Volunteers are needed. It is suggested that there be a head volunteer for the areas of: Decorations, Raffle, and Food. Raffle baskets may be done by asking businesses to donate or asking each school or jazz band to donate a basket.

Other: Send an email request to Booster parents requesting volunteers for Breakfast with the Band volunteers and raffle basket donations.
