Meeting minutes for March 22, 2005


Attended by: Michelle Blanchett, Patty Mahoney, Sue Mack, Joanie May, Bob McMahon, Janet Schoettler, Jay Labedz, Marlene Tack, John Whyte, Kathy Verzal

Treasurer Tack called the meeting to order and introductions were completed.

President's Message:
Patty said thank you to all of the volunteers for Solo and Ensemble.

Approval of Minutes:
Meeting minutes from 2/22/05 were reviewed. A motion was approved to accept the minutes as written.

School Reports:
Lance: They are getting ready for their spring trip to Toronto. Some students going to Madison for a marching band show.
Lincoln: The 6th graders visited the elementary schools. They are planning a trip to Sandusky, Ohio in May.
Tremper: No new news.
Bradford: Finalizing plans for April 28 trip to New Orleans
Elementary Bands: Rehearsals begin the week of April 1. Seven pieces have been selected for May 3rd concert. The KL band will rehearse this summer at Reuther Tues, Wed, and Thurs mornings.

Financial Report:
Highlights included:
Money was moved into the summer band accounts.
$1050 to Continental; $500 of that toward percussion
Boosters giving $500 toward percussion accounts for each band
Mr. Whyte recommended that some money be moved from checking to a money market account to collect interest.
Bob McMahon and Marlene Tack will check options including other financial institutions for accounts with waiver of fees
A motion carried to accept the financial report.

Membership:
A list of those members who returned the recent membership forms was compiled.
Boosters will continue to communicate the need for volunteers and the plan is to set up Band Booster tables at next year's school concerts.

Kathy Versal recommended that the phone reps keep records to pass on to the next rep.

Awards:
A recommendation was made to develop a policy regarding the awards categories for annual Band-O-Rama recognition.
A motion was approved to develop Policy #1: Annual Recognition Awards will be given to band staff and others as outlined and amended in the attached chart.

Clothing Sale:
Sue Mack will display a small selection of t-shirts in various styles at Breakfast with the Bands. Pre-orders will be taken.
There was discussion about the Band Boosters logo and where the graphic is located. Sue will check with Sherry's or Promo 540.
Styles include a red polo with the Band Booster bass drum player logo, band geek sayings, and also cheerleader shorts with "guard  or "band  printed on back.
Prices include: $10 t-shirts; $20 polo shirts; $25 sweatshirts; TBA shorts; TBA drawstring bags.

Solo and Ensemble:
There was some difficulty getting enough volunteers.
Some volunteers had long breaks on their shifts. We may want to overlap shifts differently next year.
Janet Schoettler received a complaint from an accompanist because there was not a warm-up room available for accompanists.

Large Group Contest:
A list was distributed with the items needed.
There was discussion about how to develop a donation system and tap in to local businesses.
It was also recommended that Boosters keep business donation records. Patty would like to identify more businesses from the north side of Kenosha to
request donations equitably from all areas of town.

Breakfast with the Bands:
Raffle baskets and t-shirt sale will be held at Breakfast.
There was discussion about the placemats. Patty Mahoney will check with Lou Covelli to see if someone from Black Watch would like to take over the task of placemat advertising. Otherwise it could be offered to Rambler. The third idea was to use the placemat to thank the sponsors and donors.

Newsletter:
Marlene Tack will contact John Krerowicz about taking over the newsletter. It is possible that he will do the newsletter and also Booster link on the website.
The newsletter will include the summer band information, clothing sale, Breakfast with the Bands, the Elementary concert info, and may also ask for food donations. It may include the date of the ice cream social and info about the tribute to Ralph Houghton.

Rambler Uniforms:
Janet Schoettler looked at the sashes. Joanie May checked with Fred J. Miller, Inc. and did not yet receive a reply.

Insurance:
It was noted that the cost of liability insurance has gone up because of the large number of band participants and also because food is sold at some events.
Patty Mahoney will continue to check on rates and also will check with Lighthouse Brigade on how they insure.

Summer Band Support:
A volunteer letter will need to go home from each summer band with the list of volunteer opportunities including events and dates.
It was noted that Black Watch will go to Canada and be back in time for the Ice Cream Social.
Patty Mahoney and Janet Schoettler will re-design the student emergency card. Continental Band parent meeting is May 9th. Rehearsals will be at Mahone on
Tues, Wed, and Thurs mornings. Camp is June 13-15.


NEW BUSINESS:

5th Grade Reception
:

A reception will be held following the elementary band concert on May 3rd. Boosters will serve cookies. The t-shirt sale will possibly be displayed. Band Booster flyers and membership information will be available.

Summer Band Instrument Gift proposal:
Patty Mahoney asked if Boosters would like to give a gift of money to the summer bands.
Discussion was held and it was decided that Boosters will ask the directors to submit a wish list with priorities and prices for Booster consideration. (these items for consideration would not be uniforms or percussion)
