Meeting minutes for March 28, 2006

President Patty Mahoney called the meeting to order and introductions were completed.

Approval of Minutes:
Meeting minutes from 2/28/06 were not received by email. The secretary sent them out but apparently they never arrived in anyone's in-box. The February minutes will be reviewed at the April meeting.

School Reports:
        Elementary: John Whyte reported that the elementary band rehearsals are ongoing. The full-length pieces are going well. They have 4 more rehearsals at the various sites and then one combined rehearsal on May 1. The concert is May 2. John will get some specific attendance numbers to Shelley Flasch who is coordinating the cookie reception after the concert. Patty Mahoney will speak about the Boosters at the concert. Booster material will be passed out to parents as they enter the Mahone gymnasium. The concert begins at 7:30 p.m. and the reception will be in the cafeteria about 8 pm. Shelley will check on possible donations of juice, water, etc. The estimated number of attendees is 300 students and 600 adults.
Lance: They have a trip planned to Minneapolis on April 28 and will visit the Mall of America.
ITA: Patty spoke with Keith Robinson and he was very apologetic about his accidental over-spending. He will return the funds to the Booster account.
Lincoln: They have a concert on May 11. They have a trip to Minneapolis planned for May 18 - 21.
Bradford: Their No. 1 Jazz band and many students are going to state contest on May 6.  The Symphony band will participate in Large Group contest. They have a trip planned to Music in the Parks in St. Louis April 28 - 30.
Tremper: They are rehearsing for Breakfast with the Bands and Large Group contest. They have a Jazz gig on April 4 at Parkway Chateau. They have concerts on May 10 and 17. A website has been set up by Ken Wiele for the Band of the Black Watch. The site is web.mac.com/kwheels . John Krerowicz will ask Ken to set up a link to the Band Boosters website.
Kenosha Beats: They received $1551 from the Education Foundation, and this money was used to pay for the writing of their show. There will be a concert in May featuring the Kenosha Beats and other percussion. The Beats members will be traveling to Indianapolis to see a drum line show but will not compete.
        
Financial Report:
A written report was received. Highlights include:

-Band-O-Rama report indicates a net profit of $133.
-Black Watch is minus $3,842 because a downpayment was made on the hotel for their trip.
-Kenosha Beats deficit of $330.48 does not reflect the grant money that came in.
-ITA will make up their deficit.
-All insurance premiums have been paid.
-The truck is ready with registration and license.
-A meeting is set up for Marlene Tack, Bob McMahon and Tom Frost to meet with Ken Wiele to discuss finances for the Black Watch. It was suggested that this type of
meeting be held with all of the bands' financial people to standardize procedures.
-If personal checks are returned due to insufficient funds, Bob will return them to the band financial person to contact the family.
-It is time to put the Booster money into the individual summer band accounts.

A motion carried to accept the financial report.

Fruit Sale:
        No update. We have not yet received a bill from Dennis Metallo for our portion of the Kenosha News advertisement.

Band-O-Rama:
        No report.        

Solo and Ensemble:
        A comment was made that students had a difficult time finding accompanists this year. It was noted that Solo and Ensemble contests were held the same day in Racine and South Milwaukee. Another comment was that the hallways were loud and sometimes disturbed the musicians. There was discussion about making posters for "Quiet Areas" to remind people to be quiet. There seemed to be plenty of volunteers, especially in the morning. There were some students collecting score sheets and it was felt that this job should not be given to students in the future. It was also suggested that we try to obtain all adult volunteers next year. Carthage students could not help this year due to their spring break.
        It was suggested that there be some printed guidelines for obtaining volunteers. We need the proper spelling of the name of the volunteer, the phone number of the volunteer, and whether they are older than 18. This will need to be discussed with all of the Booster organizations as well as Dr. Yontz and the phone representatives.

Large Group Contest:
        A lunch is planned for the 3 judges, and the directors will be welcome to eat. There will be milk, juice, coffee, donuts, kringle and water in the morning. Sue Mack will take care of mostaciolli, bread and salad, which will be served for lunch. Patty will bring Jello.
        Patty will check with Lance parents about donations to the concessions. Mahone donated last year, but Kristie did not feel that she could ask them again this year due to their many other requests. Shelley volunteered to coordinate food donations. Milk will be obtained from Deans.

Website:
        John Krerowicz reported that Large Group contest information will be posted on the site as soon as it is received from the Fine Arts Department. The Orchestra festival photos will also be posted, since John was there taking photos.
John has had some trouble with revising web pages. The new pages are not posting.
The annual site fee is due to the host at $25 per year. It was decided that John will purchase the site for 2 years at $50. He will pay by credit card and the Boosters will reimburse him.

Black Watch Trailer Painting:
        Rich Mich went to the Kiwanis, and they will donate some money for the painting of the trailer, but that amount has not yet been determined. A grant has also been submitted to the Lion's club for the same purpose.
The Rotary Club grant application will be completed. The Rotary funds will be requested to purchase marching instruments. It was noted that Paul Taylor might be pursuing Rotary funds also for Kenosha Beats. Patty will check with him to make sure that we are not duplicating grants.

Capital Campaign Committee; Major Fundraising:
        Patty emailed all of the directors requesting their input regarding band needs. She received a response from Ken Wiele regarding equipment needs for Black Watch/Kenosha Beats. It is assumed that he communicated with Paul Taylor and John Stolfe to coordinate with Kenosha Beats needs. The proposal that Ken submitted includes percussion and marching instruments totaling $37,000.
        Patty will check with John Stolfe to determine whether he has the time and interest in leading the Capital Campaign Committee.
        Jay will check with Mark Buhler of Racine Band Boosters to consult on how they raise major funds and uniform replacement monies.
        Dave Sturino of Hansen Pools and Spas is willing to donate a large raffle item such as a spa or pool table. The Boosters need to decide how to use this offer. Perhaps it will be put under the Capital Campaign.

Breakfast with the Bands:
The schedule has not yet been received from Dr. Yontz. Jamie Hobbs will be in charge of decorations. A chairperson is needed for the Baskets/Raffle. Patty will write letters requesting food donations.

Summer Bands:

        General: All schedules except K-L are posted on the website. John Krerowicz will check with Jeremy Kriederman regarding their schedule. Their season is 6/13/06 through 7/23/06.
Continental: TBA. No report.
        Rambler: John Nepper will direct the band. Janet Schoettler is head chaperone. Jean Swaitko will lead fundraising. Uniform chairperson TBA.
        Black Watch: Karen Wiele and Angi Frost will work together as head chaperones. Tom Frost is their finance person. Joanie May, Patty Mahoney and Laurie Warren will work together on uniforms. The tentative cost is $875 per student.        
        
Use of Credit Cards for summer payments:
        The KUSD Fine Arts Department will not run credit cards through for summer payments. Therefore, if the payments cannot go through the Tremper office or the Black Watch travel company, then this option might not be feasible. In addition, it is illegal to charge the patron for the credit card fee. 
        There was discussion and the group decided not to pursue the credit card option this year due to many unanswered questions that cannot be resolved before the spring band meetings with parents.

Summer Volunteers, etc:
        Patty pointed out that it is important to send a list of all summer volunteer opportunities to summer band parents for sign-up.
        The summer marching shoes are available through Gateway at $16.75 a pair. The Boosters would like all bills to go directly to Bob McMahon. Patty would like a meeting with all financial chairpersons to standardize this procedure.
