Meeting Minutes for May 24, 2005

Attended by: Patty Mahoney, Sue Mack, Jay Labedz, Marlene Tack, John Whyte, Ange Frost, Carla Ebert, Ken Wiele, John Krerowicz, Tim Yontz, Joanie May, Anna McMahon/Bob McMahon, Janet Schoettler

President Mahoney called the meeting to order and introductions were completed.

President's Message:
        All of the Kenosha Booster organization presidents met. The fruit sale was discussed and revisions were suggested.  The presidents suggested that fruit sale slips be sent home only to families who want to participate. The concessions for WSMA contests were also discussed. Choir has traditionally done the concession for Solo and Ensemble. Band has done the concession for Large Group contest. Orchestra has been providing the judges food at both Solo and Ensemble and Large group contest. Now Band will provide the judges' food (breakfast and lunch) at Large group. It was also decided that Dr. Yontz will contact Booster organization Presidents when volunteers are needed for WSMA contests.
        The boosters had discussion about the fruit sale changes. It was recommended that we have a former fruit sale chairperson attend the next fruit sale meeting for input. There was concern about only sending home slips with children who say their family would like to participate. It was felt that this would reduce sales. The Booster presidents' goal was to simplify the fruit sale and reduce paper and unused packets. This will be discussed further, and no final decision has been made.

Approval of Minutes:
Meeting minutes from 4/26/05 were reviewed. A motion was approved to accept the minutes as written.

School Reports:
District: Dr. Yontz stated that there was good discussion at the combined Booster Presidents meeting. He would like to improve communication between the Fine Arts Department and the Booster organizations. He commented that this is a busy time of year and he is attending many excellent music programs. He announced that Paul Taylor is the new Director of Bands at Bradford. Therefore the Lance position is open. They continue to interview for Mr. Schripsema’s position.

ITA: Dr. Yontz commented that the number of students in band and orchestra is doubling for 05-06.
Elementary Bands: Mr. Whyte thanked the boosters for the reception, t-shirt sale and President's message at the spring concert. He commented that it was the best spring concert ever. The students played more challenging music than in the past. The concerts at the various elementary buildings are finishing up. A concert with alumni and current students will be held on June 4th at Whittier.
KL (Kenosha-Elementary): KL is organizing. They are set up for rehearsals this summer at Reuther.
Lance: Returned from their trip to Toronto. Jazz took 1st, band 2nd, overall 1st and an award for outstanding behavior. The 6th, 7th, and 8th grade concerts were held.
        Lincoln: Michelle sent an email. They have returned from Sandusky, Ohio and received all excellent ratings having a good trip.
        Continental: Michelle's email stated that they had 55 students at the first rehearsal. Next rehearsal 6/6.
Tremper: Mr. Wiele thanked the Boosters for their support. The Ralph Houghton concert went well. 130 VIP tickets were sold and the general admission was full. Trempers spring concert was held Wednesday evening.
        Bradford: Returned from Heritage Festival in New Orleans. They received 1st place for Symphonic band and had a great trip.
        Rambler: 130-140 kids participating. 122 have paid their fees. They have a huge percussion section and may have a uniform shortage again.
Black Watch: Ken spoke for Black Watch. Rehearsals have started. Lou Covelli is excited about this band. They will play a John Williams arrangement of the Star Spangled Banner. Thank you to all of the volunteers.

Financial Report:
        Highlights included:
                The report shows that Breakfast with the Bands is minus $1,055.00 but that is because of the start up change boxes. This will be figured out.
                The treasurer is busy at this time with summer band funds.
        A motion carried to accept the financial report.

Membership:
        No update. One new membership form was received that day.

By-laws:
        Project postponed at this time.

Clothing Sale:
        Sue Mack will distribute order forms to the summer bands. The forms did not go out to the school directors because of the cost of color copying. Sue is holding the orders from the 5th grade concert to add them with future orders and get a better price on the shirts.

5th Grade Reception:
        Many donations were received toward the reception. The event was successful.
        Sandy Ogren and Sue Fresheim coordinated the event at no cost to the Boosters.
        The t-shirt sale was also set up there and orders were taken.

Donations:
Patty reminded everyone that she would like to expand the list of retail or corporate donors. Please get names to her.

Breakfast with the Bands:
        190 pre-event tickets sold. 358 tickets sold at the door.
        Raffle profited $725.00. Soda and water sale profited $32.25.
$3,497.25 profit before expenses (profit will probably be approximately $2000.00)
$215.00 net profit from placemats will go toward the Black Watch.
Thank you to the McMahons who donated half of the printing cost.
It was recommended that there be a separate chairperson for the raffle next year.
Jamie Hobbs did all of the decorating.
Ange and Tom Frost ran the raffle area all day.

Website:
        John Krerowicz found a website for a total cost of $85.00. This price includes a $25.00 site fee and a $60.00 fee for the software program. He will put the t-shirt sale back on the website since it will now continue through 6/9. The site address is www.kenoshabandboosters.org.  Photos may be submitted to the site in jpeg format. Reuther Storage Room
        An Eagle scout may take on the project of building equipment shelving and wheeling storage cabinets/carts for the uniforms and hats as well as organizing the storage space.

Rambler Uniforms:
        This item was tabled. They may use the uniforms "as is".

Mr. Sabo's retirement:
        The presentation of the Booster recognition plaque went well. The concert was very nice with many tributes.

Ice Cream Social:
        No report yet. A meeting will be held. The plan is to break up the job into sections such as pie, food, tickets, etc. They also plan to combine the planning with the Festival of Arts and flowers, ordering food and beverage for both.
        Letters need to go out soon to vendors and donors.

Black Watch Truck:
        Now parked at the Kenosha Achievement Center for the summer.

Insurance:
Boosters will continue to research for better rates. Plan is to discuss and voteat the June meeting on whether to gift the summer equipment to the KUSD. The insurance premium is not due again until November. Mr. Whyte suggested someone check with Chuck Pommering at BWO.

Band Booster History Project:
        It was suggested that a history of the Kenosha Band Boosters be chronicled.
        Discussion included making a video and interviewing Ralph Houghton and Larry Simons. A history book was also suggested. Boosters were asked to come up with names of people who may be interested in this project. Brent Yontz was suggested for the video portion. It was noted that the 50th anniversary of the Boosters is coming up in 2007.

Next Year:
        The boosters will continue to meet in 190B on the fourth Tuesday of each month.
        John Krerowicz will continue as Webmaster and Newsletter person.
        Carla Ebert will continue as Phone Chairperson.
        Bob McMahon will take over the Treasurer duties.
        President-Elect is still vacant.
        School reps / School phone chairs still needed.

Summer Band Accounts:
        This item postponed.

WSMA Houghton Library:
        There is a CD/DVD available for purchase that documents the Houghton Concert Evening. It was suggested that the Boosters purchase 4 CD/DVDs. It was also suggested that Boosters consider a monetary donation toward the Houghton library. However, it was suggested that this be discussed after the summer band        program season so that we will know what our financial situation looks like after all bills are paid.
        A motion was approved to purchase four Houghton concert DVDs at $24.00 each to be distributed as follows: 2 for the Kenosha Public Libraries, 1 for the Kenosha Band Boosters file, and 1 for WSMA.

Scholarships:
        Patty brought up the fact that the other Booster organizations give scholarships.
        Discussion followed and it was generally felt that the other Booster organizations do not support an extensive summer program which benefits many students. Band Boosters also has been able to help the school year programs monetarily in various ways. Each of these ways helps more than one or two scholarship recipients.
