Meeting minutes for Oct. 28, 2008

Call to order
Meeting called to order by President Keenan Dreger at 7 pm.
Introductions
Members introduced themselves with their name and child's school.
Approval of Minutes
The minutes from September 23, 2008 were reviewed. A motion carried to accept the minutes as written.
Treasurer's Report
No report available at this time.
Judy is working on the 990 report.
The trailer insurance was refund for the partial year.
Budget vote deferred to next month's meeting.
School updates Lance - Kathy Ripley emailed an update.
The band is off to a great start. They are preparing for a concert on December 2.
They will sell wreaths and flowers for a fundraiser.
Several groups are preparing for the solo and ensemble in March.
Washington - the band played for the school pep rally.
They are preparing for the jazz fest and participated in the percussion fest.
Mahone - The band is preparing for a concert on November 6. They are also preparing for jazz fest. Mahone students participated in the percussion fest last weekend. They have completed the best reqruitment in years. They have 120 students projected for 6th grade next year.
Tremper
Ken Wiele expressed appreciation to Dr. Wells and John Stolfe for the percussion festival. The Tremper Red jazz band will go to Lawrence University for a jazz fest next weekend. They are preparing for the Jazz Fest on 11/15. Tremper alumni will be featured at the event.
District Report
Dr. Wells gave the district report. The Percussion Fest was a huge
success. There were $475 in donations during the fest. A motion
passed to cover the additional $350 expenses for the Percussion
Fest. Band-O-Rama will be more expensive this year so not as much money is available to cover extra percussion fest costs.
Everything is going well. We need to continue to build the music program to be more valuable as the district looks for ways to deal with the CDO losses.
Fruit Sale
Karen Wiele is the band chairperson. All schools except Tremper and Bradford have fruit sale information. High school forms will be available soon. The sale will begin on Monday and end on 11/14/08. Orders can be dropped off at Karen's house or at the ESC.
Directors will have extra forms available. Mahone will sell fruit at their concert.
Top 10 sellers will get 10% of their sales.
Ken Wiele mentioned that schools have budgets and summer bands do not have a budget.
In the past, fruit sale profits were for boosters and they helped the summer program.
A discussion about motivation for fruit sales took place.
Dr. Wells will promote fruit sales with directors. Directors will be asked to support boosters. 31 parents volunteered to work at the fruit sale.
John Stolfe discussed the importance of parent support for fundraisers.
It was decided that fifth grade would be difficult to include in the fruit sale.
Band and choir will participate in the fruit sale. Orchestra will conduct a separate fundraiser.
The profit distribution was tabled.
Ice Cream Social
The 2009 Ice Cream Social will be held at Kemper Center.
Band Boosters will need to sign a contract with the parks dept for 2009.
Fee was $400 last year for Sunday - Wednesday.
Band Boosters will form a committee to consider changing to the band shell for 2010.
Band-O-Rama
Nomination forms for the Band Boosters awards are available on the Booster website. Send the nominations to Keenan Dreger. There will be a meeting on 12/9/08 to choose award receipents.
Percussion Festival
Report from John Stolfe
61 children participated in the workshops on 10/25/08. 7 ensembles played at the concert. All remarks were positive regarding the festival. Every child left with a donated prize.
Band Booster
548 parents filled out information forms for Band Boosters. 308 parents volunteered for at least one item. 240 people check they were unable to volunteer at this time. An email will be sent thanking everyone for volunteering and asking for their understanding that everyone cannot be asked for each event. There were 115 volunteers for Saturday night at Band-O-Rama. The information sheets were a big success to build a reference sheet for available volunteers. There was overwhelming support for the summer bands. Boosters received $610 in donations from the letter.
Jazz Fest
Jazz Fest will take place at Reuther High School on 11/15/08. Clinicians will work with student groups throughout the day. There will be a concert in the evening. All bands will play one song. The alumni band will play at the concert. Dan Fornero will work with groups during the day and perform at night. Volunteers are needed for the event.
New Business
Vice President and Treasurer positions are still available.
John Stolfe elected as President elect.
Concert Fundraisers
Big Band Concerts on tour for fundraiser opportunities. $6500 weeknight plus 10 hotel rooms. $9000 - $10000 fees for band, facility etc for weeknight. It was suggested that we try contacting Parkside for information about their past experience with big band concerts. John Stolfe suggested working with other area groups to reduce costs. We could look for corporate sponsors for the event. Judy suggested forming a committee to gather information.
The concert fundraiser idea was tabled until next month.
