Meeting Minutes for November 28, 2006


Attended by: Patty Mahoney, Dr. Timothy Yontz, Jay Labedz, John Whyte, Jackie Battersby, Carla Ebert, Keenan Dreger, Joanie May.

President Patty Mahoney called the meeting to order and introductions were completed.

President's Message:
Patty explained that the October Booster meeting was cancelled. An Executive Committee meeting was held instead.

Approval of Minutes:
Meeting minutes from 9/26/06 were reviewed.
A motion carried to accept the September minutes as written.

Financial Report:
        No financial report this month. The Executive Committee met in October and the Boosters are looking for a new Treasurer. Marlene Tack has agreed to help put the recent data into Quicken and bring the books up to date in that program. Janet Schoettler has indicated that she may be willing to volunteer, but at this point the Treasurer position is open. 
        The summer band account sheets have been sent out to the directors for their review. At this time, if numbers are accurate, the bands are overspent by $4,321.63. This may have occurred because there was not up to date numbers available for the directors and they may have been unaware that they were not within their budgets. Tentative numbers are:        
                -$2,921.84 Black Watch
                -$764.26 Rambler
                -$484.53 Continental
                -$150.00 KL
        Summer band checks returned for "non-sufficient funds" totaled approximately $1,380.00. Bank fees are assessed in addition to this amount. Bob McMahon re-deposited the NSF checks and $666.15 of that amount came in. This leaves a deficit of $719.00 that the Boosters will presumably have to cover as a loss. There was discussion about reducing the money that is deposited into the uniform and percussion funds by this amount. Another idea was to reduce the amount given to the band next summer to recoup this amount.
        It was determined that the Boosters need to be clear about the exact amount that is given from the Boosters to the summer bands next year. The directors need to be informed of this amount and determine what they need to charge the students to cover all band expenses.
        There was also discussion about KUSD personnel dealing with parents regarding NSF checks in a timely manner. This is recommended so that a parent volunteer is not put in the position of approaching another parent regarding a NSF check. It was also recommended that financial chairs make timely deposits.
        The Boosters may try to give the start up money to each band and let them run their own accounts next summer. The Boosters will just collect percussion and
uniform re-stock fees. It was recommended that a money collection plan be developed before next summer. Patty will follow up with the bank regarding opening separate band accounts. A goal was set to get all of the Booster financial data entered into Quicken by the January 2007 meeting.
        A motion carried to authorize Patty Mahoney to determine the next Treasurer of the Kenosha Band Boosters.

School Reports:
        Bradford: Concerts were held on 11/21/06 and 12/13/06. Lucas Dickenson is student teaching under Mr. Taylor. 15 students participated in the UW-M Honors Band. Kenosha Beats is organized and running. They will be entering 4 competitions. They have 19 members and will be performing the show "Africa." They are holding weekend rehearsals.
        Tremper: Concert held on 11/21.
        Mahone: Fall concert held.
        Lance: First concert 12/5/06 at 7:30 pm. They have many things planned and an email was received and read.
        Lincoln: Email received. A concert and retreat to Camp Timberlee coming up.
        Elementary: Mr. Whyte reported that info has been sent to parents regarding the upcoming Band O Rama rehearsal schedule. Rehearsals begin 1/8/07. Brian Belmages piece is being written to include all musicians, including 5th graders. Due to the change in personnel this year the program start up was more challenging.
        District: Dr. Yontz noted that they are working with Brian Belmages on the commissioned Band O Rama piece. It will be unique because it is an Elementary level piece within a Middle school level piece within a High school level piece. It is named "Winged Victory" after the statue in Library Park and has a connection to area Lighthouses. Brian Belmages was mentored by Robert W. Smith and he is noted to do a lot of research when writing a piece, connecting it in a meaningful way. A lot of planning is going in to this Band O Rama. Booster volunteers will be needed.

Coalition to Save Music: No report.

Ice Cream Social: No report.

Summer Bands: No report.

Kenosha Beats:
Information given under Bradford's report. It is also noted that cases are needed for the drums. The amount for those cases is $1,085.00 with shipping. The Boosters decided that the financial reports need to be straightened out before spending decisions can be made.

Black Watch Trailer:
        The Kiwanis club has donated $8,000.00 toward the trailer to be given out over a 4-year period. $1,000.00 was received in 2006. Rich Mich will attend the meeting and accept the check. The Kiwanis would like the band to perform at the Kiwanis softball tournament in August. Patty spoke with Chuck Romano about continuing to fundraise for the trailer expense.

Website:
        The Fruit sale information was posted on the site. $500.00 in fruit sales were obtained via the website.
        
Fruit Sale:
        Boosters received packets and delivered them to the schools. Many blank packets were returned. It was noted that there are many other conflicting fundraisers in schools. Patty had a lot of trouble getting the fruit sale paperwork back from the directors. Sales were approximately $7,400.00. This is down by about $1,000.00 from last year. The truck will be unloaded on 12/8/06 and fruit will be distributed on 12/9 from 9 am to 4 pm and 12/10 from 9 am to 2 pm. Distribution will take place at the old Bain School building.

Band-O-Rama:
        Joanie May has volunteered to be in charge of water sales. Diane Kastelic has volunteered to be in charge of the flower sales. Jamie Hobbs has been working on a t-shirt sale. T-shirts will be pre-ordered.
        Band O Rama awards criteria is posted on the website. Nominees are needed. Corsages and gifts will be given.
        Mr. Whyte noted that he will need Booster volunteers to help supervise the 5th graders at the rehearsal and prior to both performances.

Officers:
        President Elect, Vice President and Treasurer positions are all open.

Fundraising:
        Mr. Sturino of Hansen Pool and Spa is still willing to offer a spa prize. There was discussion about selling raffle tickets for the spa at the Breakfast with the Bands.
        Keenan Dreger suggested using a "pick 3" raffle at an event. Another suggestion was to have a concert or comedian event as a fundraiser. He will check in to these opportunities.
