Meeting minutes for Apr. 25, 2006

President Patty Mahoney called the meeting to order.

Approval of Minutes:
Meeting minutes from 3/28/06 were reviewed. The February minutes were not reviewed because copies were not available.
        A clarification was made under ITA: Keith Robinson was apologetic about using more funds than were available in his Booster account. He will replace the funds with money from his school account.
        A clarification under Kenosha Beats: They were awarded $1551.00 from the Kenosha Education Association but those funds had not yet been received.
        A correction under Large Group Contest: The Lance parents donated food items toward the concession in 2005. Mahone was asked this year but declined.
        A motion carried to accept the March minutes with the above clarifications/corrections.

School Reports:
        Elementary: John Whyte reported that the elementary band students are preparing for the May 2 concert. Approximately 200 students are participating; the expected attendance is around 900 including the students. This concert will conclude the season with the exception of individual school "mini concerts" featuring students in their home schools. A Booster-sponsored reception will follow the program. Boosters will have membership and volunteer literature available before the concert at 6:30 pm. Patty will prepare a flyer with a welcome, the Booster website and meeting times.  Shelly Flasch is coordinating the cookie reception. Water and soda not used at Large Group contest will be used at this event.
K-L band information letters will be going out to students. They will rehearse on Tuesdays, Wednesdays, and Thursdays at Reuther from 9:30 am to 11:30 am. They will be directed by Mike Monk, Jeremy Kriederman and another director.
Lance: They have a trip planned to Minneapolis on April 28 and will visit the Mall of America. They are preparing for Breakfast with the Bands as well as concerts on May 18 and 25. The May 18 concert will feature the 6th and 7th graders. The May 25 concert will feature the 8th graders and jazz band.
ITA: Keith Robinson sent thanks to the Booster volunteers. They have a concert on 5/11. They have approximately 50 students signed up for next year.
Bradford: Their Symphony band will travel to Music in the Parks in St. Louis April 28 - 30. They have a concert on 5/10 and are participating in Breakfast with the Bands on 5/13. The jazz band has a concert planned for 5/18 featuring Steve Jacob on tenor sax. They have many students participating in State Solo and Ensemble on May 6.
Kenosha Beats: The Kenosha Beats will perform their first concert on 5/12 along with Africa West percussion ensemble. Africa West will hold a percussion clinic on 5/12 from 4 to 6 pm. Continued below...

All students are welcome. Students attending the clinic will receive free admission to the evening concert.
        
Financial Report:
A written report was received. Highlights include:
        - Summer band expenses are beginning to come in.
        - Shoe kits have been purchased for all bands at a cost of $1100.00. Each shoe kit provides one pair of shoes in each size for fitting and those shoes are then used for a band member. Shoes will be sold for about $19.00 per pair due to increased shipping costs.
        - Black Watch t-shirts have been purchased at $900.00
        - Tag day "tubes" were purchased at $359.00
        - Deposits have been made to Carroll College
        - Large Group contest concession profit is about $245.00 at this time. Approximately $90.00 is still owed on expenses.
        - Summer band account money has not yet been transferred to the individual bands.
        - K-L band gets seed money to buy their t-shirts. After the sale of the shirts, the money is returned to Boosters. Boosters may help with their end of the season party.

A motion carried to accept the financial report.

Fruit Sale:
        No update. We have not yet received a bill from Dennis Metallo for our portion of the Kenosha News advertisement.

Band-O-Rama:
        Mr. Feigles award was corrected and delivered.

Black Watch Trailer Painting:
        Boosters received a $500.00 grant from the Lion's Club to be used toward the trailer painting. The Kiwanis Club stated that they would also donate funds toward the painting. The Kiwanis stated they may be able to donate as much as $2000.00 to $3000.00 from their club and another area club. However, they requested that the trailer be inspected for sturdiness before investing in a paint job. There was some communication, apparently, regarding this inspection, but the inspection has not yet occurred. Patty will follow up with Ray Larson, Rich Mich, and Ken Wiele. At this point it was felt that the painting will have to be delayed until after the summer band season.
        
Solo and Ensemble:
        No report.

Summer Bands:
        K-L:  Update received earlier under Elementary band report.
Continental: TBA. Their sign up was the same night as the Booster meeting.
Rambler: no report.
        Black Watch: Parent meeting to be held on 4/26. Black Watch information is available on both the Kenosha Band Booster website and Mr. Wiele's "kwheels" website. Those sites are now linked.

Update on Fundraising Efforts/Grant:
        Boosters are writing a grant to the Rotary for percussion equipment. Booster financial information is needed to complete the grant application process. The grant is due on 4/30/06. Boosters have not had contact with Mr. Stolfe to follow up on the Capital Campaign initiative.

Website:
John Krerowicz was unable to attend the meeting. No report.

Large Group Contest:
        Concession money was discussed under financial report. Only one t-shirt was sold from the clothing displayed at the concession area.

Breakfast with the Bands:
The event is scheduled for May 13. Patty is the chairperson. The Athletic Boosters griddle will be used. Patty will check with Jamie Hobbs regarding decorating the room. Janet Schoettler is in charge of the raffle.
In the past, approximately 100 tickets have been pre-sold through the distribution of tickets to students at the schools. Patty will contact the directors to see if they are interested in getting tickets for advance sales. Patty may ask for donations from band parents. She will distribute flyers to schools for students to take home and the event will be advertised in the Kenosha News briefs.        

Ice Cream Social:
        Sue Mack will coordinate this event. There will be fewer tables available because some were damaged last summer. The electricity and lighting will have to be determined. Patty and Sue will contact Neal Skokot, the electrician that helped out last year. The set-up will be the same as last year. This is the way it needs to be set up because of the berries that fall from the tree in the old area. The berries damaged some tables. Johnson Bank will provide the tent.

Festival of Arts and Flowers:
        This event will be expanded to include the summer orchestra students. A chairperson is needed.

By-laws:
        There was discussion about arranging a Booster meeting for sometime in July or August with the sole purpose of looking at the by-laws. This needs to be done and there is never enough time at the regular meetings. Patty will pick some dates and send out an email invitation.

Gifting of Equipment/Uniforms:
        A letter was distributed outlining the gifting of the summer band uniforms and equipment to the Kenosha Unified School District. The letter explains that the Boosters voted to gift the equipment to the school district and that the district will then insure the items.
        A motion carried to accept the letter.

Verzal Memorial:
        It was noted that the first year that the Jeff Verzal memorial concert was held, the proceeds went to Jeff and Kathy's sons' college funds. The second year the proceeds were designated for Women and Childrens Horizons. The third year (2005) the proceeds were placed in the Booster account for summer band scholarships.
        Patty followed up with Kathy Verzal to discuss Kathy's desire for the funds. Kathy would like the money to be used to offset a percentage of the summer band costs for students. She'd like the students to write a letter of request. There was some discussion about who shall administer the funds. The Boosters could serve as the "bank only" for the funds or they could determine the criteria for the awards. Another option would be for an independent committee to come up with criteria, to review the requests and determine who receives the awards.
        The group decided that the Kenosha Band Boosters is willing to hold the proceeds from the Jeff Verzal memorial concert. That fund is currently a separate line item on the Booster financial report. The Kenosha Band Boosters will not be the agent responsible for determining award recipients or administering the funds. The Verzal family or their representative will determine how the funds will be distributed through the Booster account. Otherwise, they may take the money currently in the fund and set up a Jeff Verzal memorial account separate from the Kenosha Band Boosters.
        A motion carried for the Band Boosters to act solely as the bank account for the Jeff Verzal memorial fund. The Boosters will assume no responsibility for administering or determining how the funds will be distributed.

Johnny Hemkes Memorial:
        Mr. Hemkes, a legendary local instrumental music teacher, recently passed away. A scholarship fund is being established in his name. The scholarship will be used to fund private lessons. The Boosters decided to contribute $200.00.

Policies for Equipment/Uniforms:
        Patty distributed draft policies for both the Summer Band Uniform Accounts and the Summer Band Percussion Accounts. These draft policies were reviewed and discussed. They were suggested as addendums to the Kenosha Band Booster By-laws. They qualify the annual summer band fee contributions toward both items. Each student contributes $30.00 toward the uniform account. Each band contributes $500.00 toward the percussion account. Patty will re-write the policies with the suggestions offered.

        2006-2007 season officer status is as follows:

                Volunteer chairperson: Carla Ebert will continue
                Webmaster: John Krerowicz will continue
        Patty will send out an email to all Booster parents regarding the empty positions.
